Data Room files: How folders, versions, and file management work

Move files, update documents, manage versions, and keep each folder organised.

Files inside a Data Room are managed from the folder or document view.

You can usually:

  • upload files

  • move files between folders

  • rename files

  • delete files

  • view file details

  • check version history

  • download files, if available

  • manage document access through sharing settings

If you upload an updated version of the same file, Undo may keep it as a new version of the existing document instead of treating it as a completely separate file. This helps keep the file history in one place.

Inside the file view, you can check previous versions and remove versions that should no longer be used, if your permissions allow it.

This is useful when a document changes over time, for example:

  • a newer financial model

  • an updated pitch deck

  • a revised shareholders agreement

  • a signed version of a document

  • an updated cap table export

If a file is in the wrong folder, move it rather than uploading another duplicate. This keeps the Data Room cleaner and makes it easier for investors or advisers to find the right document.
